Privacy Policy

Effective October 14, 2026

1. Who we are and what this covers

This Privacy Policy explains how Easier Done LLC ("Easier Done", "we", "us") collects, uses and shares information when you use our workforce and job-site management software, including the web application, the mobile application, and our website at easierdone.app (together, the "Service").

The Service is sold to businesses ("Customers") that use it to run their own operations. Most information in the Service is entered by, or collected on behalf of, a Customer. If you are an employee, contractor or client of a Customer, see section 3 for who is responsible for that information.

2. Information we collect

Depending on how the Service is used, we and our Customers collect:

  • Account information: name, email address, phone number, job title or role, and login credentials (passwords are stored hashed, never in readable form). If two-step verification is on, we store what's needed to verify it.
  • Work and scheduling information: shifts, availability, time-off requests and balances, time clock punches (clock-in and clock-out times), tasks, tickets, job site assignments, and messages sent inside the Service.
  • Location information: when a Customer turns on location-based time clocking, we collect the device's location (coordinates) at the moment of a clock-in or clock-out, to check it against the job site or approved area. We do not track location continuously in the background. Your device asks for your permission first.
  • Photos, documents and files: daily log photos, before-and-after photos, drawings, certification records and other files that users or Customers upload, and any notes or annotations on them.
  • Job and client information: job site addresses, details a Customer records about its own clients (such as names, email addresses, phone numbers and addresses), estimates, change orders, invoices, and payment requests and their status.
  • Payroll-related information: pay rates, hours and pay codes that a Customer configures, used to produce reports and exports. The Service does not itself pay employees.
  • Payment information: when a client pays a Customer by card, the payment is handled by Stripe. We do not receive or store full card numbers. We store identifiers and the status of the payment and of the Customer's connected Stripe account.
  • Technical information: IP address, browser and device type, pages and features used, and error reports. We use a session cookie to keep you signed in (see section 9).
  • Communications: emails and text messages we send through the Service (with delivery status), and messages you send us for support.

3. Our role and your employer's role

Customer data. For the workforce, job and client information described above, the Customer decides what is collected and why. We process it on the Customer's behalf and only to provide the Service, as a "service provider" or "processor". If your account was created by your employer, they control your information and who at the company can see it, and requests about it should go to them first. We will help them respond.

Text message consent is different: Easier Done collects it directly from the person who will receive the texts, as described in section 6. Your employer cannot opt you in.

Our own data. For information about Customers' administrators and billing contacts, visitors to our website, and security and operational logs, we decide how it is used and are responsible for it.

4. How we use information

  • To provide, secure and support the Service, including signing you in and sending notifications. Text messages are sent only to people who opt in themselves (section 6).
  • To process payment requests and connect Customers to Stripe.
  • To send account, security and service emails, and text messages as described in section 6.
  • To find and fix errors, prevent abuse and fraud, and keep the Service reliable.
  • To improve the Service, using aggregated or de-identified information that does not identify a person or a Customer.
  • To meet legal obligations and enforce our terms.

We do not sell personal information, and we do not use Customer data for advertising.

5. Sharing with service providers

We share information with companies that help us run the Service, only as needed and under their own terms and safeguards. They currently include:

  • Hosting and storage: Railway (application hosting) and a cloud storage provider used for database and file backups.
  • Payments: Stripe, for card payments and Customers' connected accounts.
  • Email and text messages: Resend (email) and Twilio (text messages).
  • Maps and addresses: Mapbox, which receives addresses and map requests to show job sites and directions.
  • Error monitoring: Sentry, which receives technical error details.
  • Mobile notifications: Expo's push notification service, if you use our mobile app and turn on notifications.

We may also disclose information if required by law, to protect people or the Service from harm, or in connection with a merger, acquisition or sale of the business (with notice, where required). Within a Customer, information is visible to the people that Customer gives access to.

The categories above exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

6. Text messages (SMS)

What we send. Easier Done sends recurring, automated job and schedule notification texts to people who use the Service. We do not send marketing or promotional text messages.

How you opt in. You receive texts only if you add your own mobile number in the Service (My notifications → Text messages) and check the SMS consent box. Consent is optional and is not a condition of employment or of any purchase. Your employer cannot opt you in.

What we collect and why. When you opt in, we collect your mobile number, the date and time of your consent, and the consent wording you agreed to. We use this information only to send the text messages you asked for and to keep a record of your consent and opt-out choices.

Frequency and cost. Message frequency varies based on your schedule and notification settings. Message and data rates may apply.

Opting out and help. Reply STOP to any message to stop receiving texts, or turn off text messages in My notifications. Reply HELP for help, or email support@easierdone.app.

No sharing of mobile information. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties. We share mobile numbers only with service providers that help us deliver the Service (for example, Twilio, which delivers our text messages), and only as needed to send the messages you requested.

7. Payments through Stripe

Customers who accept card payments connect their own Stripe account to the Service. Payments from a Customer's clients are made to that Customer's Stripe account, and Stripe's fees are charged to the Customer. Stripe collects and uses payment and identity information under its own privacy policy and connected account terms. We receive payment status and identifiers, not full card numbers or bank details.

8. Retention, export and deletion

We keep Customer data while the Customer's account is active. A Customer administrator can export their data. After an account ends, we delete or de-identify Customer data within a reasonable period, currently up to 90 days, except where we must keep records for legal, tax or security reasons. Backups are overwritten on a rolling schedule, so deleted data can remain in backups for a limited time afterward.

9. Cookies

We use a secure session cookie that keeps you signed in and protects your account. It is strictly necessary for the Service to work. We do not use advertising or cross-site tracking cookies.

10. Security

We use technical and organizational safeguards including encrypted connections, hashed passwords, role-based access controls, optional two-step verification, monitoring and regular backups. No system is completely secure. If a breach affects your information, we will notify the affected Customer and others as required by law.

11. Your choices and rights

Depending on where you live, you may have rights to access, correct, delete or receive a copy of your personal information, and to object to or limit some uses. If your information is held on behalf of an employer, please contact them first. If you contact us, we will direct you to the right Customer or handle the request ourselves for information we control. We will not discriminate against you for using your rights. To make a request, email support@easierdone.app.

12. Where information is processed

The Service is operated from the United States, and information is processed and stored there.

13. Children

The Service is intended for businesses and their adult workforce. We do not knowingly collect information from anyone under 16.

14. Changes to this policy

We may update this policy. If a change is significant, we will give notice in the Service or by email before it takes effect. The date at the top shows when it was last updated.

15. AI assistants you connect (MCP)

A Customer administrator can turn on an integration that lets the Customer's users connect the Service to Claude, ChatGPT, or another AI assistant that supports the Model Context Protocol (MCP), using a standard sign-in (OAuth) flow. This is off by default and must be turned on by an administrator before anyone can connect.

  • The administrator chooses the access level a connected assistant can have (read-only, or read and write) and whether buyer and client personal contact information is included at all. Both are off by default.
  • Once turned on, a user connects their own account to an assistant from that assistant's own sign-in flow. The assistant's access mirrors that user's own permissions in the Service — it cannot see or do anything that user couldn't already see or do.
  • Every action a connected assistant takes — reading, creating or updating a record — is logged the same way a person's actions are, and is labeled in the Service's Change History and activity views (for example, "via Claude" or "via ChatGPT") so it's visible to anyone who could already see that history.
  • A user can disconnect their own connection at any time (My account → Connected apps), and an administrator can disconnect any connection or turn the integration off entirely (Settings → Integrations → AI assistants), ending that access immediately.
  • A connected assistant can only read, create or update records, depending on the access it was granted — it cannot delete anything, consistent with the rest of the Service.
